Onboarding touches HR, IT, facilities, finance, and the hiring manager — each with their own systems and processes. The AI needed to orchestrate across BambooHR, Okta, Google Workspace, Slack, the equipment ordering system, and payroll. Timing was critical — background checks need to complete before access is provisioned, equipment needs to arrive before start date.
We built a state machine that manages the entire onboarding lifecycle. When a hire is confirmed in the ATS, the system automatically triggers parallel workflows: document collection, background check initiation, equipment ordering, account provisioning queue (triggered after background check clears), and training schedule generation. Each step has defined dependencies, timeouts, and escalation paths.
