Overview

A 500-person company was drowning in expense reports. Employees submitted receipts late, in every format imaginable, with missing information. The finance team spent two full weeks each month just processing expenses. We built an AI-powered expense system where employees simply photograph receipts, and the AI handles everything else — extraction, categorization, policy checking, and report generation.

The Challenge

Receipts are the worst documents to OCR — crumpled paper, faded thermal print, foreign languages, varying formats. The system also needed to enforce complex expense policies (per diem limits by city, client-billable vs. internal, pre-approval requirements) without being so restrictive that employees hated using it.

Our Approach

We built a mobile-first receipt capture system with real-time OCR feedback ('receipt captured successfully' or 'please retake — text is blurry'). The AI extracts vendor, amount, date, and line items, then classifies the expense category. A policy engine checks every expense against company rules and flags violations. Clean expenses are auto-approved up to threshold; others route to managers with AI-generated summaries.
